BACKGROUND
The Fiscal Year 2023-24 Building Management Fund budget provides funding for the City Hall 2nd Floor Furniture Replacement project (PF210). The existing furniture at City Hall is discontinued, making it difficult to build additional workstations for staff, accommodate additional staff, and facilitate departmental organization.
New Tangram, LLC was contracted to complete design services for City Hall 2nd Floor Finance and Human Resources bullpen area modular furniture, which included a workstation design to improve the overall layout of the bullpen area, while addressing workstation needs. Staff met with New Tangram, LLC to develop a furniture plan and finishes in February 2024. A final plan was completed and approved by staff.
ISSUES/ANALYSIS
The new furniture being purchased from New Tangram, LLC is through a cooperative agreement, Sourcewell Contract No. 091423-STI, which gives the City the ability to purchase and install modular furniture through this cooperative agreement. The City Attorney's office has reviewed all documents relevant to the Sourcewell bid solicitation for New Tangram, LLC, and have found the documents to be in order.
In February 2024, staff received a proposal from New Tangram, LLC in the amount of $148,506.98 for the City Hall 2nd Floor Furniture Replacement project. At this time, staff is recommending that City Council authorize a contract in the amount of $148,506.98 to New Tangram, LLC, Newport Beach, CA for the purchase and installation of modular furniture for the City Hall 2nd Floor Furniture Replacement project. In addition to the contract amount, staff is requesting authorization to spend up to $14,850.00 for construction contingencies for unanticipated work, bringing the total construction contract to $163,356.98.
