1) Approve a vendor cap increase with C.E. Mechanical, Inc., Chino, CA in the amount of $40,000 for a total not-to-exceed amount of $90,000; and 2) authorize the City Manager to execute all necessary documents on behalf of the City.

BACKGROUND
The Fiscal Year 2023-24 Building Management Fund budget provides funding for preventative maintenance and on-call services for Citywide heating, ventilating, and
air-conditioning (HVAC) services necessary to accomplish all aspects of the maintenance, installation, and repair services. C.E. Mechanical, Inc., is an approved contractor that possesses the knowledge, certifications, and expertise to complete all aspects for maintenance, installation, and repair services. Multiple repair services have occurred this fiscal year, including a new condenser and compressor for the Chino Experience Teen Center, leak repair at the Carolyn Owens Community Center, and compressor replacement at Public Works Service Center Administration building. Staff is currently requesting additional repairs at Public Works Service Center Administration building and for unanticipated repairs throughout the remainder of the fiscal year.
ISSUES/ANALYSIS
C.E. Mechanical, Inc. has a vendor cap of $50,000 and year-to-date staff has expended 80% of the vendor cap. The requested increase of $40,000 is for heating, ventilating, and air-conditioning (HVAC) services at City facilities. If approved, this will bring the total vendor cap for C.E. Mechanical, Inc. to $90,000. City Council authorization is required as the combined total of purchase orders will exceed $50,000 authorized to one vendor.
